Your Musical Journey with KeyStrings -Academy Policies

At KeyStrings Music Academy, we are committed to providing a structured and enriching learning environment for all our students. Our policies are designed to ensure that lessons run smoothly, creating a positive and productive experience for both students and teachers.

 

On this page, you will find detailed information about our expectations, procedures, and terms, including attendance, cancellations, payments, and general studio guidelines. These policies are in place to help us maintain high standards and foster a respectful and enjoyable community of music learners. We kindly ask that all students and parents familiarize themselves with these policies before starting lessons.

Payment and Enrollment

Enrolling with KeyStrings guarantees a reserved weekly lesson time tailored to your schedule.

 

Our monthly tuition of $165 is part of a comprehensive annual plan, broken into 12 equal payments for simplicity.

 

Invoices are issued on the 27th of each month, with automatic payment processing through your saved payment details.

 

This consistent rate ensures year-round access to lessons, including during school holidays and breaks.

Scheduling and Attendance

Your weekly lesson time is reserved exclusively for you, offering consistency and personalized attention.

 

Tuition remains fixed each month, factoring in various considerations such as school terms, public holidays, and occasional student absences due to illness or vacations.

 

Months with five lessons are provided at no additional cost, ensuring value throughout the year.

 

Absences and Vacations:

For extended absences, we offer two options to accommodate your needs

1. Maintain Your Enrollment: Continue your monthly tuition to keep your reserved lesson time intact during your extended absence. This ensures that your dedicated time slot will remain exclusively available for you upon your return.

2. Pause Your Enrollment: Provide written notice before the start of the next month to temporarily release your time slot. While we cannot guarantee the same slot upon re-enrollment, we’ll do our best to accommodate your return based on availability.”

Rescheduling Lessons (Ongoing or One-Off Clashes)

If you have a new ongoing commitment (like work or sport) or a one-off event that clashes with your regular lesson time, please let us know at least one week in advance.

 

We’ll do our best to reschedule your lesson where possible. Reschedules are not guaranteed and depend on teacher availability, but we’ll always try to accommodate when given enough notice.

 

Please note that we do not offer refunds or credits for missed lessons, as our monthly fee already factors in occasional absences.

Teacher Cancellations:

- If a teacher cancels a lesson, a credit will be provided in the next invoice.

- If the cancellation occurs during the same week that invoices are processed (i.e. after the invoice for

the following month has already been issued), the credit will instead be reflected in the subsequent

month’s invoice.

Example: If a student’s lesson on the 28th of March is cancelled due to the teacher's absence and the

invoice for April was processed on the 27th of March, the credit will appear in the invoice for May.

Trial Lessons

- Trial lessons are offered at a discounted rate.

- After the trial lesson, you will be invoiced for any remaining lessons in the current month.

Trial Lesson Fee & Late Notice Policy
Trial lessons are offered at a discounted rate of $15.24 (up to 60% off our standard lesson price of $38.08).
 
If you cancel or reschedule your trial lesson with less than 12 hours’ notice, a $10 late notice fee will apply.
 
● If you go ahead with the trial at a later time, the total fee will be $25.24 ($15.24 trial + $10 late fee).
 
● If you decide not to continue after cancelling late, the standard trial rate of $25.08 will apply, plus the $10 late notice fee — bringing the total to $35.08.

Billing and Late Payments

Payment Processing Fee

A small processing fee of 1.8% is included in all automated card payments to cover transaction costs.

This ensures secure, convenient, and reliable processing of payments via our payment provider, Stripe.

 

Example: For a $165 monthly lesson fee, the total charged will be approximately $167.97.

Once Payments have been processed they can not be refunded.

Late Payment

Payments received after the due date may result in a $5 late fee. Lessons may be placed on hold until all outstanding balances are cleared.

Enrollment Adjustments

To unenroll or pause your enrollment, notify us in writing at least 3 days before the start of the next

month.

Once unenrolled, your reserved time slot will be made available to other students.

Studio Recitals

At KeyStrings, our annual recitals are a highlight of the year, giving students a chance to shine and celebrate their progress. These events build confidence and create lasting memories. While recitals are subject to student interest, we aim to host one each year. Families will receive detailed information, including pricing and dates, at least 1-2 months in advance to allow for thorough preparation.

Drop-Off and Pick-Up

Parents/guardians are responsible for timely drop-off and pick-up of students.

 

Teachers cannot supervise students outside their scheduled lesson times due to other commitments.

Refer-A-Friend Program

Share the joy of music with friends and earn a $25 credit for each referral! To qualify, the referred student must mention your name during enrollment and complete three lessons (excluding any trial lesson) within five weeks of starting.

 

This credit will be applied to your next invoice as a thank-you for helping our community grow.

Payment System

Your direct debit details will be stored securely in our studio management system (powered by

MyMusicStaff). We will never request payment information through any method other than a direct call

with you.

Acknowledgement of Policies

By enrolling with KeyStrings Music Academy, you acknowledge and agree to these terms and

conditions.
